The Timecone guide.
How to sign in, log your week, submit it, approve timesheets and run reports in Timecone. Each section stands on its own, so jump to the one you need.
Timecone runs at app.timecone.io. Your organization's admin creates your account, and you get a welcome email when it is ready.
- Open app.timecone.io and enter your work email.
- Choose Sign in with Microsoft if your organization uses Microsoft sign-in, or enter your Timecone password.
- Forgot your password? Choose Forgot password? on the sign-in screen and follow the link in the email.
Log your week
Each timesheet covers one week. You log hours against the projects and tasks you are assigned to.
- On Home, choose Start this week or Go to week.
- Choose Add tasks and search for a task by name, or browse by project, milestone or time off.
- Enter your hours. Pick the view that suits you: Grid for hours per task per day, Blocks to drag time blocks with start times, or Calendar to see the week as a calendar.
- Add a comment to any entry when your approver needs context.
Tip Use Copy tasks from last week to start a new week with the same tasks, or Log again on Home to add a task you used recently.
While you log, Timecone shows each project's budget used, what this week adds, and the hours left on tasks assigned to you. The week total shows how your hours split across projects.
Import Outlook meetings
You can show your Outlook meetings in the week and log them as time.
- Switch the week to the Calendar view.
- Choose Import Outlook events and sign in with Microsoft.
- Meetings you have not logged appear with a dashed border. Choose + Log on a meeting and pick the task to log it to.
Files and expenses
Each week can hold attachments and expenses, which are approved with the timesheet.
- Attachments: upload files such as a signed client timesheet. Each file can be up to 20 MB.
- Expenses: add an amount, a description and receipt files, then choose Save expenses.
Submit and recall
- When the week is complete, choose Submit for approval. Your organization may set minimum and maximum hours per week.
- Need to change something before it is approved? Choose Recall, edit the week, and submit it again.
- If your approver declines the week, read their note, fix the week and choose Submit again.
Approved weeks stay locked. The history on each week shows who submitted, approved, declined, recalled or cancelled it, and when.
Approve timesheets
If you approve timesheets, they appear in Approvals.
- Open Approvals. Each week shows its hours by day, and checks mark it as Looks normal or Needs a look, for example when a day is unusually long. Overdue weeks are marked.
- Approve a week, or choose Decline with note to send it back with an explanation.
- When a week needs more than one approval group, Timecone shows which groups have decided and who it is still waiting on.
Approval history shows past decisions and the turnaround from submission to decision. When a week is approved, Timecone emails a PDF of the timesheet.
Time off
Time off is logged on your timesheet like any other task and is approved with the week.
- Choose Add tasks, browse Time off, and pick the type.
- Your balance as of that week shows while you log.
- HR manages balances, yearly earned hours, rollover caps and the year-end rollover.
Projects
Project managers set up and track projects in Projects.
- Portfolio, Cards and Table views list your projects. Portfolio plots time elapsed against budget used and lists projects that need a decision.
- Each project has tabs for the summary, financials, roles and rates, team, deliverables and milestones, documents, timesheets, expenses and an hours export to CSV.
- Templates let admins start new projects with deliverables, roles and team already set up.
Reports
Finance and HR run reports on approved hours. Which reports you see depends on your role and your organization's setup.
- WIP report: work in progress across open projects, exported to Excel with live formulas.
- Custom reports: choose columns and filters, and save reports to run again.
- Payroll allocation and QuickBooks export (CSV with QuickBooks Desktop import headers).
- Missing and late timesheets, timesheet snapshots, projects, time off and utilization reports.
On your phone
Use the Timecone iPhone app or open app.timecone.io in your phone's browser. The tabs at the bottom take you to Home, Timesheets, Approvals, Projects and More.
- Tap a day and log hours in quarter-hour steps. Changes save as you go.
- Approve timesheets from the Approvals tab.
- Exports open your phone's share sheet so you can send a CSV or PDF.
For admins
- People: create accounts, edit details, set each person's approvers and delegates, and send a password reset link.
- Clients, templates and taxonomy: manage clients, project templates, categories, sectors and tags. Quick edit changes many records in place.
- Reminders: send timesheet reminders from Notifications, with a dry run that sends every email to you first, and turn reminders off for individual people.

- Integrations: NetSuite and Microsoft sign-in are set up together with the Timecone team. Contact support to get started.
